The 3 groups of in-house data are: (1) systematically gathered data: information that is routinely collected on an ongoing basis to meet existing needs. This can include personnel information (staff qualifications), accounting data (billing records to track client contacts); and data stored in clinical, quality or other information systems. The advantage of this type of data is that it is often stored electronically, where it can be cleaned, manipulated, or analyzed for evaluation projects. Data entry may not be needed, saving time and money. (2) Treatment documentation: information stored and updated in case files. This includes vital pieces of information, including initial assessments and ongoing service plans, social histories, discharge reports, incident reports, etc. While effort is required to retrieve and process these records, using them saves more time than original data collection. (3) Clinical/administrative judgment: information acquired by observing the service delivery process on a regular basis. Examples include reimbursement, program management and supervisory activities focused on the number of contacts and amount of time direct service staff spend with clients and consumers, including styles of workers and managers and work routines.
