Once an effectively crafted agenda has been written and distributed, it is time to
actually hold the meeting. Leaders can help make their meetings more productive by opening
with a statement that orients the group to the meeting. Items to include here are the
importance of the task, encouraging open communication, setting high expectations, and
securing agreement on procedures to be followed. Next, leaders should ensure that all
members participate in the group discussion. This can be done by encouraging openness and
critical evaluation of ideas, not people. The leader must also be sure to keep the group focused
and not allow conversations to wander. Finally, the leader should summarize the discussion for
all members at the meeting's conclusion.
