Weekly coordination meetings are normally held, with all applicable subcontractors in attendance. The focus of the subcontractor meeting is the exchange of information on scheduling, interface between the various subcontractors, and the review of updated information, changes, and potential effects on all companies involved. Like any meeting, this should be scheduled at the same time each week, with set agendas; the superintendent should control the flow of the meeting. Generally, all of the major subcontractors should be at the weekly subcontractor meetings for the duration of the job. This is not a difficult task once subcontractors are on-site, but many are hesitant to come to meetings if they feel their time will be wasted. Every contractor has his own method of encouraging subcontractors to attend these meetings, from fining them for missing meetings to providing incentives. When subcontractors are not able to attend meetings, minutes should be sent to them.
